What should sample approval decide?
Set analytical and packaging acceptance criteria before sampling. Record deviations and the approved specification so the sample decision can meaningfully guide a later batch.
Define the sample and its decision purpose
A sample request should explain whether you need an analytical material, a packaging prototype or a representative batch for an internal study. These are different deliverables. State the identity, amount and documents required, then describe how the sample will be evaluated. A sample that looks appropriate may still be unsuitable for the analytical or operational decision you need to make.
Agree the acceptance criteria before dispatch. Your plan may include document review, identity checks, application-specific evaluation or packaging inspection, depending on the project. Identify who will perform the review and how results will be communicated. Sample costs and freight should be confirmed separately rather than assumed to be included. For CBL-514 enquiries, material identity and lawful supply scope must be established before a sample can be represented as available. A form submission is therefore a request for review, not a promise of clinical-product access or a completed order.
Carry the evaluation forward to the next stage
A sample approval should identify the tested material, batch, specification revision and limits of the evaluation. Explain which findings support the next project decision and which questions remain open. If a sample was used only to approve label appearance, do not treat that approval as evidence of material quality. If it supported an analytical study, preserve the relevant data and handling records.
Before scaling to a larger order, confirm how the production material will relate to the evaluated sample. Discuss specification changes, batch comparability, retained samples and any additional release requirements. Record what would trigger a new evaluation instead of relying on an informal statement that the product is “the same.” This gives the procurement and technical teams a shared basis for proceeding. The sample request form captures the initial brief, while later acceptance and commercial commitments should be recorded in project-specific written documents.
Frequently asked questions
