Batch traceability from quotation to received sample

What should connect the label to the report?

A consistent material code, lot number and document revision should connect the approved specification, packaging and batch records. Preserve the audit trail when a report changes.

Follow the identifiers through the document chain

Traceability begins with consistent identifiers. The quotation should describe the material and specification revision; the label should identify the supplied batch; the COA should refer to that batch and its tests. Shipping documents and receiving records should preserve the connection. If a distributor uses a different internal code, ask for a documented cross-reference rather than assuming that two similar names are equivalent.

This matters when comparing samples, repeating an experiment or reviewing a later bulk order. A successful evaluation of one batch does not automatically establish every future batch’s properties. Record what was tested, which documents were reviewed and which acceptance criteria were applied. Our batch lookup can provide access to reports approved for publication, but it is only one part of the document chain. It does not replace supplier qualification, independent testing where required or your organization’s receiving and release decisions.

Plan for revisions and exceptions

A traceability process should explain how corrections, specification changes and document withdrawals are handled. If a report is revised, keep the revision identity clear and avoid silently replacing a record in a way that confuses earlier decisions. If a material is repackaged, clarify how the new container identifiers connect to the source batch and which party is responsible for the resulting documentation.

For an OEM project, artwork approval and packaging records also belong in the chain. A label revision can affect how a customer interprets quantity, use restrictions or handling instructions. Review those fields alongside the technical specification rather than treating them as purely visual design. Keep unresolved discrepancies visible until they are answered. A transparent exception record is more useful than a complete-looking folder assembled from unrelated files. The goal is to make the material and its evidence reviewable at each handoff, including sample approval, production release and receipt.

Frequently asked questions

How do I check batch traceability?

Match the lot identifier across the label, COA, sample record and shipping documents. Resolve discrepancies and report revisions before acceptance; an online lookup confirms only that a record was registered on that site.
